Booking Accommodation Rules and By-laws

Health, Safety and Wellbeing:
This is a shared responsibility for everyone and you are required to:
● contribute to a safe, respectful and harmonious environment;
● advise the Lodge Managers of any incidents or hazards to ensure Lodge equipment and facilities can be maintained to a safe standard;
● ensure the safe use, handling and storage of any items or equipment in the Lodge;
● follow all health and safety directions required of you by the Lodge Managers;
● disclose to the Directors any known risks, including medical condition(s) to ensure these risks can be managed and reasonably accommodated for your stay at the Lodge;
● refer to the Terms and Conditions of Booking and How To Manage An Infectious Illness at Berghütte for further information on physical distancing, mask wearing, self isolating, testing and checking out procedures of the lodge as soon as possible when you and your guests become unwell;
● immediately advise the Lodge Manager if you or your guests develop even mild symptoms of infectious illness including COVID-19, cold, influenza or gastrointestinal symptoms or other symptoms of infectious illness during your stay at the Lodge. Refer to the Terms and Conditions of booking and how to manage an infectious illness at Berghutte for more information on self-isolating, testing and checking out of the Lodge as soon as possible when you or your guests become unwell;
● smoking is not permitted on Berghutte premises and an additional cleaning charge of a minimum of $500 is payable for smoking in the bedroom, balconies or common areas. Smoking is not permitted on the front balcony outside the kitchen or in the car park or gardens if these areas are being used by other members or guests.
Winter and Event Dining arrangements:
● Accommodation rates for winter include breakfast 7 days a week and dinner 6 nights a week.
● Prior to your stay at the Lodge, you must advise the Lodge Managers in writing, if you have any dietary requirements, and the Chef will do their best to accommodate your request, noting this may not always be possible, especially during peak periods.
● You must advise the Lodge Managers in advance if you do not require a meal during your stay, or if you would like to request having guests for dinner (subject to availability).
● Junior Meals – Juniors (ages 14-17) are entitled to an adult meal. If children under 3 require a small portion of a children’s meal please advise the Lodge Managers.
● Chef's Night Off – Please ask the Lodge Managers about the Chef's night off each week.
● The main kitchen is off limits unless invited by the Lodge Managers.
● You are expected to be punctual for meals. Breakfast is from 7.30 am to 8.30 am in winter and 8 am to 9 am the rest of the year. Dinner is from 7 pm to 8.30 pm.
● Dinner for Children is at 6 pm. Adults are required to supervise their children at all times during meals and assist in serving, clearing and cleaning up the Dining Room at the end of children’s meal times.
Winter Dining and Communal cleaning arrangements:
All members and guests are expected to assist with:
● during meal times - serving and clearing of meals to tables including all crockery, cutlery and glasses.
● outside of meal times - returning all crockery, glasses mugs to the designated area as directed by the Lodge Managers/Chef etc.
● at all times - keeping communal areas clean, tidy and free of personal belongings.
Summer Lodge arrangements
● Kitchen – open for self-catering which includes cleaning up completely after each meal. If the BBQ is used, it should be cleaned prior to your departure or a cleaning fee will be applied to your account.
● Cleaning – you must keep all communal areas clean, including the downstairs bathrooms; vacuum and mop common areas if they become dirty, and remove all rubbish to the bins next to the stairs in the car park daily.
● Complimentary - tea, coffee, sugar, pepper and salt are available for you use. No milk or other condiments or food are supplied. Please bring your own.
● Kitchen fridge – the white fridge in the kitchen is for the Manager’s personal use and you should not access unless the fridge is empty when you arrive.
● Linen – you are not required to bring your own bed linen, as this is included in the booking cost. Please bring your own bath towels and bathroom linen.
Bookings Arrivals and Departures:
● Weekly Winter Season bookings are from Sunday to Saturday.
● The Lodge Manager will advise you if a COVID-19 test is required before and/or during your stay. Please bring your own supply of Rapid Antigen Tests for this purpose.
● Check in time is 2 pm. If you arrive earlier than your check-in time, please do not expect to be given access to your room before 2 pm.
● Room Allocations are posted on the entrance hall notice board and are advised when you check-in.
● Children under 3 are not allocated a bed and are therefore free of charge if you provide their bedding. If you require a bed for a child under 3, please advise this in writing on your booking and you will be charged an additional cost for the bed linen.
● Don’t forget to bring your bath towels and other bathroom linen.
● Bookings are allocated for beds, not rooms and sharing of rooms between different bookings may occur although prior notice will always be given by the Lodge Managers.
● The total number of members or guests staying at the Lodge will not exceed the agreed number determined by the Board regardless of room configuration.
● You must vacate your room on your day of departure no later than 10 am as follows:
● Leave the room clean and tidy and have cleared the room of all your belongings including the disposal of any rubbish into the garbage bins next to the stairs in the car park.
● Remove the linen from your bed and leave it neatly in a pile in your room or in areas designated by the Lodge Managers.
● Return any items belonging to Berghutte such as glasses or mugs to the kitchen. During winter these should be placed in the areas as directed by the Lodge Managers/Chef. During summer you are required to clean these via the dishwasher and put away prior to your departure.
Security:
● You will receive an email with the front door code when your booking is confirmed. You must not disclose this code to any other person(s) unless they are members or guests of your booking.
● Please ensure that all external doors remain locked and closed during your stay when not in immediate use.
● Berghutte Ski Club is not responsible for your personal belongings in the Lodge at any time. Please implement your own security measures whilst at the Lodge.
● The WIFI password is available on the noticeboard in the kitchen. Please do not disclose this to anyone not staying at the Lodge.
Member and Guest Fridges and Kitchenette:
● Fridges are in the Dining Room and the Basement off the games room for your beverages and small supply of food. Please remember to remove/dispose of these items prior to your departure.
● A members kitchenette is provided in the Dining Room area for food preparation including snacks, simple lunches etc. It has a convection/microwave oven, fridge and dishwasher. It is not designed for preparation of full meals. You are required to keep this area clean and tidy at all times and to clean up immediately after use.
Car Parking:
Please note the following:
● parking at the Lodge is a privilege not a right and access is via the Lantern Apartments driveway and car park. You will maintain good relationships with our neighbours by entering and leaving via their car park as quickly as possible and in a respectful and courteous way and you will not park or block access in the Lantern Apartments.
● priority parking is for members first, then guests and only motor bikes or cars can be parked. You must seek prior permission from the Lodge Managers to park trailers, trucks or other types of vehicles.
● where, if and how you park in the Lodge car park is at the discretion of the Lodge Managers.
● parking in the Lodge car park is at your own risk and Berghutte is not liable for any loss or damage to your property.
● if the car park is at maximum capacity, you may unload your vehicle in the carpark and then move it to a public car park (shuttle buses are available during winter and stop at the entrance to the Lantern Apartments).
● if you park in the car park, you must write your car registration and mobile phone number on the whiteboard in the Dining Room.
● you must leave your keys in the Dining Room for other members or the Lodge Managers to move your car, noting this is at your own risk. If you do not wish for your car to be moved, you should park in a public car park.
Bike/Ski and Drying Room:
The bike/ski storage room is located adjacent to the Entrance Hall. All equipment must be stored here and are not permitted past the Entrance Hall, including SKI BOOTS, SKIS, MOUNTAIN BIKES , muddy footwear or other sporting equipment.
Guest Laundry and Ski Repair and Locker Room:
The ski repair room is located within the Laundry via the 1st Floor landing utility hall. The transit of skis to the Ski Repair Room is permitted via the stairs at the end of the entrance hallway, not via the upper lounge stairs or via the external door to the Ski Repair Room.
● If you use the laundry, ski repair or locker rooms you must leave it clean and tidy and ready for the next person to use.
● There is a washer and dryer in the laundry along with information about the cost per load. Please pay the Lodge Managers.
Parent and Carers:
All children and adults with special needs must be always supervised by a parent or carer at all times.
Member’s Responsibility:
Members are responsible and liable for the actions of their guests at all times, including any fines, fees, penalties, damage, loss, outstanding payments or unsatisfactory behaviour. Please make your guests aware of booking terms and conditions, guidelines, rules and by-laws of the Club. These responsibilities include times when a member may not be staying at the Lodge at the same time as their guest.
Lost Property:
We will endeavour to assist you to retrieve lost or forgotten personal property; however, no claim may be made for any loss. Lost property will be kept for a period of 2 weeks, and then any unclaimed items will be donated to charity or disposed of in general waste. Should you want an item returned, a reply-paid satchel must be sent to the Lodge for the return of the items to you by our Manager.
Please note:
● The Lodge is located in an extreme climatic environment which can range from bushfires to blizzards. You accept that Berghutte will not be responsible for any loss of enjoyment, injury, illness, changes or cancellation during your stay that is occasioned by the effects of bush fires, excessive snow, ice, rain and storm activity, infectious illness or any other natural phenomenon.
● Dogs and other pets are not permitted in the Kosciuszko National Park and no animals are permitted in the Lodge.
● Thredbo is home to a diverse range of flora and fauna, please respect this by disposing of your garbage in the bins provided and not leaving food in rooms and on balconies.
● The Lodge Manager and the Directors reserve the right to ask you to leave the Lodge for any reason should we consider that it is not in the best interest of the Berghütte Ski Club. Your remaining accommodation services are non-refundable.
