1. Background
Berghütte Ski Club is a non-commercial private sports club with a history dating
back to 1958 when it was founded by a group of enthusiastic Sydney skiers.
Membership is predominately family based with many going back three
generations now.
The Club enables members and their guests to pursue mountain sports
activities and provides friendly, affordable, quality accommodation, supported
by good governance and our Lodge Manager.

For the purpose of these Terms and Conditions, “you” means the person making
the booking and all other members and guests associated with the booking.
3. Health, Safety and Wellbeing
Berghütte Ski Club Lodge Managers and its Directors will take all reasonable steps to
promote a safe and healthy environment for our staff, contractors, members
and guests whilst on Berghütte premises.
a) You accept that the health, safety and wellbeing of everyone at the Lodge is
a shared responsibility and you will:
● contribute to a safe, respectful and harmonious environment;
● advise the Lodge Managers of any incidents or hazards to ensure Lodge
equipment and facilities can be maintained to a safe standard;
● ensure the safe use, handling and storage of any items or equipment in the
Lodge;
● follow all health and safety directions required of you by the Directors,
Lodge Managers or their authorised Delegates;
● disclose to the Directors or their authorised Delegates any known risks,
including medical condition(s) to ensure these risks can be managed and
reasonably accommodated for your stay at the Lodge.
b) Smoking is not permitted on Berghutte premises and you agree to pay an
additional cleaning charge of a minimum of $500 for smoking in the bedroom,
balconies or common areas. Smoking is not permitted on the front balcony
outside the kitchen or in the car park or gardens if they are being used by other
members or guests.
c) The Lodge Managers and the Directors reserve the right to ask you to leave
the Lodge for any reason should we consider that it is not in the best interest of
Berghütte Ski Club. Your remaining accommodation services are non-
refundable unless they relate to an infectious medical condition as outlined in
this document.
• d) Medical conditions: You accept that you will consult with your health
practitioner prior to your stay at the Lodge to determine:
● if you have any medical conditions that may impact on your health, safety
and wellbeing when staying at the Lodge and / or;
● if the medical condition(s) may impact on the health, safety and
wellbeing of other members or guests of the Lodge and / or;
● if the medical condition(s) may impact on the operations and
management of the Lodge; and
● if you are unsure if your medical condition(s) may impact any of the
above, you will consult your health practitioner and seek their advice.
Based on the above, and prior to your stay at the Lodge you will provide a
medical certificate or letter from your medical practitioner to Berghütte
Bookings acknowledging:
● It is safe for you to stay in a shared residential ski lodge with communal
living and dining arrangements;
● That parts of the Lodge have limited natural airflow and no air
conditioning;
● You will be in potential close contact with a range of persons from
newborn to the elderly.
The medical certificate or letter should also advise any adjustments or
special considerations that need to be considered by the Berghütte in order for
you to safely stay at the lodge. Berghütte will then assess if these
adjustments can be reasonably accommodated prior to your booking being
accepted.
You acknowledge that due to privacy reasons you do not have to disclose the
exact nature or confidential information of the illness unless this is a
legislative requirement.
Any medical consultation(s) and obtaining written medical evidence will be
at your own expense.
Further, you accept that your booking may be cancelled at any time,
including during your stay at the Lodge if this medical condition(s) presents a
risk to the operations of the Lodge and / or if the Lodge cannot reasonably
accommodate the requirements of your medical condition.
The Directors reserve the right to obtain independent medical advice to
inform their decision making if this is deemed appropriate.
e) The Lodge Managers and Directors reserve the right to deny entry or
terminate accommodation services should we consider that it is not in the
best interest of Berghütte Ski Club.
f) You agree to adhere to the Berghütte Ski Club Policies and Procedures as
amended from time to time, at all times during your stay at the Lodge.
g) You agree that:
● if you are booking for guests you are responsible and liable for your
guests at all times, including any damage, loss, outstanding payments or
unsatisfactory behaviour even if you are not staying at the Lodge at the same
time as your guests;
● it is your responsibility to make your guests aware of the Booking Terms
and Conditions, Accommodation Rules and By-laws, Policies and Procedures
and other rules of the Lodge.
h) Force Majeure: The Lodge is located in an extreme climatic environment
which can range from bushfires in summer, to blizzards in winter. You
accept that Berghütte will not be responsible for any loss of enjoyment,
injury, illness, changes or cancellation during your stay that is occasioned by
the effects of bush fires, excessive snow, ice, rain and storm activity,
infectious illness or any other natural phenomenon.
4. Booking Information
a) General
• You must be a financial member of Berghütte Ski Club (i.e. all subs paid) to
book Lodge accommodation.
• To ensure that we can offer accommodation to all our members, bookings
during the ski season are limited to a maximum of two weeks, or a total of 14
days, unless otherwise approved by the Board. You may contact the Board
for approval for stays more than two weeks, or a total of 14 days, via our
Bookings Team at [email protected]
• The maximum number of members and guests to be accommodated at the
Lodge is 34 people per night although the number of beds available may be
less and is at the discretion of the Lodge Manager.
• During the Winter Season, priority will be given to member's weekly
bookings.
• Bookings are allocated for beds, not rooms and sharing of rooms between
different bookings may occur although prior notice will always be given by
the Lodge Managers.
• At peak times, friends and/or family will be asked to share a room, or single
people of the same gender. You agree that she will not refuse to share a room
unless you provide, at the time of booking, a medical certificate stating that
you would require a single room due to a medical condition.
• Rooms are allocated by order of receipt of booking where possible.
• A ballot system may take place if bookings exceed the maximum number of
tentative bookings.
• Tariffs are subject to change at any time.
• Current tariffs are in the Berghutte Booking System.
• Accommodation rates will be charged at the rate in the Berghütte Booking
System at the time of your booking AND if payment is received as per these
Terms and Conditions of Booking.
b) Booking and Dietary Requests
• All booking requests are to be completed by members and paid for online via
the Berghütte Bookings website. In the very rare event that you do not have
access to online facilities, then a request can be made by phone to the Lodge
Managers by leaving a message on (02) 64576381.
• Online payments made at the time of your booking will only be confirmed
when payment is made and accepted - full details below.
• You agree to advise the Lodge Managers of any dietary requirements at the
time you make your booking.
c) Tentative and Confirmed Bookings
• In the interest of fairly offering accommodation to all our members and their
guests, payment for a Tentative Booking must be made within 30 days (not
30 days prior to your arrival) or payment is due immediately if you book
within 30 days of your stay.
• Tentative bookings will be confirmed by the Booking Manager after
establishing bed availability. The Booking Manager will then ask you to
complete any required pre-check in documentation and you may then
proceed to pay for your booking using the online payment system. Once
payment has been verified by the Booking Manager your booking will be
confirmed.
• Tentative bookings may be cancelled without notice if not paid in full within
the above timeframes.
d) Cancellations
• If you cancel your booking 30 days prior to your arrival then you will be
refunded in full.
• If you cancel your booking within 30 days of your arrival your payment is
non-refundable unless it relates to an infectious medical condition.
• In the event of a non-refundable cancellation within 30 days, the Lodge
Managers will take reasonable steps to resell the booking of a bed/s which
could form part of a partial refund. If you cancel during peak season and it is
possible for the Lodge Managers to fill your booking with other members and
guests, you will be entitled to a refund less 10% processing fee in relation
only to a non-refundable cancellation within 30 days.
e) Check-in
• Check in time is 2 pm. You may wish to arrive earlier at the Lodge but do not
expect to be given access to your room until 2 pm.
• Prior to your arrival, you will be advised by the Lodge Managers if you are
required to complete any check-in requirements and you agree to comply with
these and advise all members and guests of your booking of these requirements.
• What to bring: You need to supply your own bathroom towels and bathroom
linen. As you may be required to undertake COVID-19 testing at the Lodge you
should bring your own supply of Rapid Antigen Tests. You may also be required
to wear a mask inside the Lodge so you should bring your own supply.
f) Check out
• Check out time is 10 am. You room must be cleared of all your belongings,
rubbish removed to the bins next to the stairs in the car park, any crockery or
glassware returned to the kitchen and linen stripped off the beds prior to your
departure. The cost for cleaning your room on departure is included in the tariffs.
g) Summer bookings
• Self-catering - during the summer months the kitchen will be open for self-
catering and you agree to clean up completely after each meal. If the BBQ is
used, it should be cleaned prior to your departure or a cleaning fee will be
applied to your account.
• Cleaning – you will keep all communal areas clean, including the downstairs
bathrooms; vacuum and mop common areas if they become dirty, and
remove all rubbish to the bins next to the stairs in the car park.
• Complimentary - tea, coffee, sugar, pepper and salt are available for you
use. No milk or other condiments or food are supplied. Please bring your
own.
• Kitchen fridge – the white fridge in the kitchen is for the Manager’s personal
use and you should not access unless the fridge is empty when you arrive.
• Linen – you are not required to bring your own bed linen; the linen hire
charge is included in the daily tariff. Please bring your own bath towels and
bathroom linen.
5. Infectious Illness at the Lodge
• You acknowledge that it is a shared responsibility between Berghutte,
members, guests, visitors and staff to work together to keep everyone safe
by preventing and responding promptly to any potential outbreak of
infectious disease whilst staying at the Lodge, including COVID-19, cold,
influenza and gastrointestinal illness.
• You and your guests agree to comply and follow all the directions of the
Berghütte Board of Directors and the Lodge Manager or their Delegates to
minimise the risk of transmission of infectious illness in the Lodge in a timely
and respectful manner.
• Due to the communal nature of the Lodge, limited natural airflow (closed
windows in winter, enclosed corridors and no air conditioning) and being in
a rural / remote area, Berghütte encourages all members, guests and visitors
to be up to date with COVID-19 and any other relevant vaccinations,
including any booster shots. Vaccination is recommended but not required
for staying or visiting the Lodge.
• The Lodge Managers will advise you if a COVID-19 test is required before
and/or during your stay. You agree that the tests will be done at your own
expense. Please bring your own supply of Rapid Antigen Tests for this
purpose.
• During your stay at Berghütte you will protect yourself and others with a high
standard of hygiene, physical distancing and infection prevention
practices as required by the Lodge Managers and Berghutte Policies and
Procedures.
• You agree to comply with all infection prevention practices as required by the
lodge managers including:
• physical distancing
• regular washing and sanitising of your hands and covering any cough or
sneeze;
• only entering the bedroom and associated bathroom you have been
allocated, the communal bathrooms excepted; i.e. you must not enter other
guest or member’s bedrooms.
• minimising the number of personal items you bring to shared communal
spaces including coats, gloves, goggles, glasses, bags, phones, toys, etc. and
you will not place these on communal surfaces such as tables, lounges,
chairs, etc.
• You agree to supply and wearing masks over your nose and mouth indoors in
hallways and other communal areas if required and if you develop any
symptoms of infectious illness whilst staying at the Lodge.
• During the winter season the kitchen operates as a commercial kitchen and
is therefore off limits to members, guests and any other unauthorised
person.
• You agree you will not access the kitchen at any time without the prior approval
of the Lodge Managers.
• You consent to having your body temperature checked by a temperature
scanner and the results recorded at the beginning and any time during your
stay by the Lodge Managers or their Delegates if requested.
You accept that due to the residential nature of the Lodge you are not able to
work, stay or visit the Lodge if you:
• Have even the mildest symptoms of COVID-19 or any infectious illness,
such as cold, influenza or gastrointestinal symptoms; and / or
• Have tested positive to COVID-19 or influenza within the last 7 days;
• Have arrived from overseas within the last 7 days;
• Have been in high risk or close contact with a person either suspected or
confirmed with COVID-19 or other infectious illness during the past 7days;
• You accept that if you or any party of your booking meet any of the criteria
defined in the paragraph above:
• Prior to your stay, you will not travel to the Lodge and your booking will
be cancelled and a credit or refund provided if you can provide a medical
certificate or evidence of a positive COVID-19 test.
• During your stay, if you develop a cold, influenza, gastrointestinal or
other symptoms of infectious illness you will immediately isolate in your room,
advise the Lodge Managers by phone or sms and vacate the Lodge.
• If you become unwell during your stay at the Lodge you agree to follow
Berghütte's procedure on How to Manage an Infectious Illness at Berghütte
• During your stay, if you develop any symptoms of infectious illness or
become aware that you are a close contact of someone with COVID-19 you
agree you will undertake a Rapid Antigen Test immediately. If you test
positive to COVID-19 or have cold, influenza, gastrointestinal or other
symptoms of an infectious illness, you will immediately vacate the Lodge as
soon as it is safe to do so (eg if you become unwell in the evening, leave first
thing the next morning). If you are too unwell to travel home, please contact
the Manager who may be able support you in finding alternative
accommodation. You agree not to return to the Lodge until you provide
evidence of medical clearance at your own expense (e.g. letter from your
medical practitioner). A credit or refund will be provided for the balance of
your booking from the next day until the end date of your booking.
• During your stay, if you become aware that you are a close contact of
someone with COVID-19 you agree you will undertake a Rapid Antigen Test
immediately and you agree to follow Berghütte's procedure on How to
Manage an Infectious Illness at Berghütte. As a close contact Berghutte
requires you to conduct a daily RAT test whilst at the Lodge and wear a face
mask in all communal areas of the Lodge, stay 1.5 metres away from other
people and sit separately from others when eating and drinking in
communal areas.
• You acknowledge that due to privacy reasons you do not have to disclose the
exact nature or confidential information of the illness unless this is a
legislative requirement, but you must advise the Lodge Managers that you
have symptoms of an infectious illness to enable your booking to be
cancelled and a credit or refund provided. You accept that you will provide
medical evidence to the Booking Manager to obtain a credit or refund if this
is requested and obtaining this medical evidence will be at your own
expense.
6. Members Kitchenette
• A members kitchenette is provided in the dining room area for food preparation
including snacks, simple lunches etc. It has a convection microwave oven, a sink
a fridge, and a dishwasher. It is not designed for the preparation of full meals.
• You are required to keep this area clean and tidy at all times and to clean up
immediately after use.
• You agreed that if you use any of the communal refrigerators and cupboards for
storage of your own food you will remove/dispose of these prior to your departure
from the lodge.
7. Parking
You agree that:
• Parking at the Lodge is a privilege not a right and access is via the Lantern
Apartments driveway and car park. You agree to maintain good
relationships with our neighbours by entering and leaving via their car park
as quickly as possible and in a respectful and courteous way and you will not
park or block access in the Lantern Apartments.
• Priority parking is for members first, then guests and only motor bikes or cars
can be parked. You must seek prior permission from the Lodge Managers to
park trailers, trucks or other types of vehicles.
• Where, if and how you park in the Lodge car park is at the discretion of the
Lodge Managers.
• Parking in the Lodge car park is at your own risk and Berghütte is not liable
for any loss or damage to your property.
• If the car park is at maximum capacity, you may unload your vehicle in the
carpark and then move it to a public car park (shuttle buses are available
during winter and stop at the entrance to the Lantern Apartments).
• If you park in the car park, you must write your car registration and mobile
phone number on the whiteboard in the dining room.
• You must also leave your keys in the Dining Room for other members or the
Lodge Managers to move your car, noting this is at your own risk. If you do
not wish for your car to be moved you should park in the public car park.
8. Travel Insurance:
Travel insurance policies may cover loss of accommodation payments. We
highly recommend members explore such options.
9. Booking disputes:
In the event of any dispute in relation to bookings, or cancellations of bookings,
the Booking Manager and the Directors will make a final decision.
10. Summary:
• The Lodge is in an extreme climatic environment which can range from
bushfires to blizzards. You accept that Berghutte will not be responsible for
any loss of enjoyment, injury, illness, changes or cancellation during your
stay that is occasioned by the effects of bush fires, excessive snow, ice, rain
and storm activity, infectious illness or any other natural phenomenon.
• You accept that dogs and other pets are not permitted in the Kosciuszko
National Park and no animals are permitted in the Lodge.
• By confirming and paying for your booking you accept and agree to the
following and that you are responsible for you and your guests adhering to:
• The Terms and Conditions of Booking as stated herein and
• Berghütte Booking Accommodation Rules and By-Laws
• Berghütte Policies and Procedures (available at the Lodge)
• You accept that if you breach any laws, regulations and rules related to the
safe operation of the Lodge premises which results in a fine, fee or penalty,
you will be liable for your own costs and you agree that Berghütte may seek
reimbursement from you for any costs incurred by Berghütte as the result of
your behaviour and conduct.
